Systems and technology

A clinic management system that fits your organization and your booking channels

We help you choose the system, manage the rollout with its vendor, connect online booking, WhatsApp and enquiry tracking around it, and train your team until they actually use it.

We reply on the same working day.

We bought a system, and the team still writes in notebooks and spreadsheets

A system is often chosen after one demo and a price comparison. After installation it turns out that insurance claims cannot be sent from it, website bookings do not reach it, or the team was not trained enough and went back to the old way.

  • Insurance claims are sent by hand or rejected for missing data
  • Bookings from the website or WhatsApp do not appear in the doctor's schedule
  • Nobody knows which ad brought the patient who is in the schedule
  • Each branch uses the system differently

Where it acts on the patient journey

We work at booking: the appointment is entered once and reaches the schedule from any channel.

  1. Enquiry
  2. Response
  3. Booking
  4. Attended

What it includes

Writing down the needs

We sit with management, the front desk and finance, and write what the system really needs: specialties, branches, insurance, reports and language.

Comparison and shortlist

We compare suitable systems against the same list. Support for insurance claims through the nphies platform is one of our basic conditions. The final decision is yours.

Rollout management with the vendor

We follow the installation plan and its dates with the system's vendor on your behalf, and check that what was delivered matches what was agreed.

Connecting booking and channels

An online booking link, WhatsApp and the enquiry tracking system, connected to the clinic system where its integrations allow, so appointments reach the schedule without double entry.

Training for each role

Hands-on training for the front desk, insurance, accounting and management, with a short Arabic guide to the screens each role uses.

Follow-up after launch

We review how the system is used in the first weeks after launch, pass needed changes to the vendor, and retrain where the team struggles.

How we work

  1. Write the requirements

We review how the front desk, insurance and reporting work today, and turn that into a clear list of requirements.

  2. Compare and recommend

We request offers from suitable vendors, compare them against the same list, and recommend one with clear reasons.

  3. Lead the rollout and connections

A dated plan with the vendor, connection of online booking, WhatsApp and enquiry tracking, and testing before launch.

  4. Train and follow up

Training for each role, then a review of usage and reports until the team is settled on the system.

How we measure

  • Share of bookings that reach the schedule from the website and WhatsApp without manual entry
  • Share of insurance claims rejected for missing data before and after launch, if you share those reports with us
  • System use in each branch after training
  • Share of appointments in the schedule with a known source
  • Progress against the rollout plan and its dates

NAMAA does not build or own medical record software. The system, its license and technical support stay with the vendor. Our role is advice, rollout management, connections and training.

We recommend systems that store data in line with the Personal Data Protection Law (PDPL) and Saudi health authority requirements, and that connect to the nphies insurance platform. Patient data belongs to your organization, and management sets the permissions.

Frequently asked questions

Do you sell a clinic management system?

No. We do not build or own medical record software. We help you choose from the systems on the market and manage the rollout with the vendor. The contract and license are between you and the vendor.

Why does nphies support matter?

Because health insurance claims in Saudi Arabia go through the nphies platform. If the system is not connected to it, the team goes back to manual entry and claim errors increase.

We already have a system. Can you work with it?

Yes, and we start by assessing it. If it does the job, we connect booking, WhatsApp and enquiry tracking around it and train the team. If it has a gap that holds you back, we tell you clearly before any change.

What does a clinic management system have to do with marketing?

Ads bring the enquiry, but the appointment is entered in the system. If the two are not connected, you cannot tell which campaign brought patients, and data is entered twice by the front desk and marketing.

How long does the rollout take?

It depends on the number of branches and specialties and the chosen system, and we do not give a timeline before writing the requirements with the vendor. After that you have a plan with clear dates that we follow with you.

Before you sign a contract for a new system

Send us the systems you are considering, or the one you use today, and we will review it with you in a free consultation of about 30 minutes.
